It explains how we handle personal information in connection with our website at www.jsquaredstudios.com.au (including the campaign, booking and recruitment pages available on that domain), our client portal at portal.jsquaredstudios.com.au, our communications with you and the creative production services we provide.
We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Calls made to or from our studio phone system, including sales and client calls, may be recorded so that we can maintain accurate records. Recordings are transcribed, and we use artificial intelligence tools provided by third-party service providers to summarise calls, identify action items, assess the tone of conversations and maintain notes about enquiries and client relationships.
These tools support our team; they do not make decisions about individuals. Decisions about the services we offer, the quotes we provide and the recommendations we make are made by people. We do not use computer programs to make decisions that could reasonably be expected to significantly affect an individual’s rights or interests.

Our website uses Google Analytics to help us understand how visitors use it. Google Analytics uses cookies to collect information such as the pages you visit and how you arrived at our website. You can read about how Google uses information from sites that use its services.
Our campaign and booking pages use the Meta Pixel and Meta’s Conversions API. When you visit these pages, Meta receives information such as your IP address, browser details and the page and advertisement involved. When you submit an enquiry through one of these pages, we also share your email address and telephone number with Meta in hashed form. Meta and other third parties may use cookies, web beacons and similar technologies to collect or receive information from our website and elsewhere on the internet, and use that information to provide measurement services and target advertisements. Meta handles this information in accordance with its Privacy Policy.
Links in our advertisements and social media posts contain campaign parameters, and a first-party cookie records the link that referred you so that we can attribute your enquiry to the correct campaign.

We will only send you marketing communications where you have consented, or where we are otherwise permitted to do so under the Spam Act 2003 (Cth) and the Australian Privacy Principles. Each marketing message identifies us and includes a functional unsubscribe facility, and we will give effect to unsubscribe requests within five business days.
Service communications, such as sign-in links, booking confirmations and invoices, are not marketing communications and will continue while you are a client.
Where an individual is featured in content we produce — for example, as talent, an interviewee or a member of a client’s team — we or our client seek their consent to the use of their image, voice and likeness, generally through a release form. For individuals under 18, consent is sought from a parent or guardian.
Individuals may appear incidentally in footage captured at events or in public places. We aim to keep this incidental and to comply with any filming notices displayed by the venue or event organiser.

We will consider your request promptly and, where appropriate, edit, obscure or remove the content. Where the content belongs to a client, we will refer your request to them.
Some of our service providers are located, or store information, outside Australia, including in the United States and other countries in which they or their data centres operate. Before disclosing personal information to an overseas recipient, we take reasonable steps to ensure that the recipient does not breach the Australian Privacy Principles in relation to that information.
We hold personal information electronically using secure, cloud-based systems. We take reasonable steps to protect it from misuse, interference and loss, and from unauthorised access, modification and disclosure. These steps include encryption in transit, access controls that restrict information to authorised personnel (and, within the client portal, to the relevant client organisation) and tamper-resistant records of signed agreements.
If we experience a data breach that is likely to result in serious harm, we will notify affected individuals and, where required, the Office of the Australian Information Commissioner.
No method of transmission or storage is completely secure. Please keep your portal sign-in details confidential and notify us immediately if you believe they have been compromised.
